Marketing Operations Project Coordinator

Salary: $2,500 USD
Schedule: Monday to Friday, 8 AM to 5 PM CT
Location: Remote

Role Overview:

We are hiring four Marketing Operations Project Coordinators, one per Strategic Growth pod inside a US marketing agency. This is a pod operator role. You will keep growth and marketing work moving by owning coordination, follow through, documentation, and recurring workflows so pod leadership can stay focused on strategy.

You will report to two leaders inside your pod. You must be comfortable handling competing inputs, clarifying priorities, and executing fast without constant supervision.

If you have never worked inside a marketing team or agency environment, this will not be a fit.

Responsibilities:

- Own recurring weekly monthly quarterly workflows for your pod
- Run internal coordination across media, creative, analytics, and operations
- Turn meetings into clear recaps, action items, owners, and due dates
- Create tasks, assign owners, chase completion, and escalate when needed
- Support budget lock and campaign support workflows in internal systems
- Build, clean, and proof PowerPoint decks and internal documents
- Handle marketing adjacent requests like competitive scans, research, and quick context gathering
- Flag risks early and communicate clearly when something is off track
- Adapt quickly to shifting priorities and urgent requests
**If something falls through the cracks, you are expected to catch it.

Required Experience:

- At least 2 years supporting a marketing team, agency, or marketing operations function
- You must understand marketing language such as brief, creative, campaign, KPI, performance, deliverable, timeline, stakeholder, and revision cycles
- Strong experience coordinating work across multiple teams

Required Tools and Skills:

- Microsoft Office, especially PowerPoint and Excel
- Project management tool experience such as Wrike, ClickUp, Asana, Monday, Jira, or similar
- Comfort learning internal proprietary systems quickly
- AI tools such as ChatGPT used as part of daily work
- Fast written English and crisp meeting notes

Success Indicators:

- Pod leaders feel unblocked and supported
- Recurring work happens without reminders
- Tasks do not stall and deadlines do not slip silently
- Decks and documentation are clean and accurate
- You can manage two leaders without drama
